The work between the work.
Finally has an owner.

Most small businesses lose time in the gaps: the follow-up nobody made, the record nobody updated, the exception nobody caught. An agent holds that ground continuously, with the decisions that matter still yours.

01

Enquiries arrive through five channels and get answered late.

Email, the website form, WhatsApp, the phone, a DM. Whoever sees it first answers it, context depends on who that was, and anything arriving after hours waits until tomorrow.

What Apteva does

The agent takes first contact on every channel with the customer's history already in hand. It answers what it can from your approved material, and hands over anything it should not decide, with the context attached.

Where you stay in control

You set which topics it may answer outright and which always go to a person. Quotes, refunds, and commitments are yours by default.

How it runs

  1. Watches every channel as one queue, so an enquiry is handled the same way whichever door it came through.
  2. Looks up whether this is an existing customer and what happened last time before it writes a word.
  3. Answers routine questions from your own documents and prices, not from general knowledge it might get wrong.
  4. Captures what your team needs to act — what they want, when, and the details you always have to chase.
  5. Escalates with a summary, so the person taking over does not start the conversation again.
02

Follow-up depends on a person remembering to follow up.

The quote you sent, the lead that went quiet, the customer who said call me in March. It lives in someone's head or a reminder they snooze, and the ones that go cold go cold silently.

What Apteva does

Persistence is the point. The agent schedules its own next check for each open thread, adapts when circumstances change, and returns to what went quiet without being prompted.

Where you stay in control

Outreach can be draft-only, approved in batches, or sent within limits you define. You choose per channel.

How it runs

  1. Keeps one open thread per customer or deal, with everything that has happened attached to it.
  2. Sets its own next check, timed to the thread rather than a fixed cadence — a hot quote is not chased like a cold lead.
  3. Wakes when something changes: a reply arrives, a payment lands, a status moves. It reconsiders rather than continuing on a script.
  4. Drafts the next message using the actual history, so the follow-up reads like a person who remembers.
  5. Reports what has gone quiet and why, so nothing simply disappears.
03

The same information gets typed into three systems.

An order becomes an invoice becomes a task becomes a line in a spreadsheet. Each hop is manual, each is a chance to mistype, and nobody notices the mismatch until a customer does.

What Apteva does

The agent moves records between the tools you already use and — more usefully — recognises when they disagree. Rather than guessing at a bad record, it stops and asks.

Where you stay in control

Exceptions are a queue your team works, not errors buried in a log. Nothing outside the normal range is resolved without you.

How it runs

  1. Carries each record through its lifecycle across your systems, so it is entered once.
  2. Checks consistency at each hop, comparing against what the other systems already hold.
  3. Flags contradictions and gaps as exceptions for a person instead of silently picking a value.
  4. Keeps a trail of what it changed where, so a wrong number can be traced rather than hunted.
  5. Returns to unresolved exceptions before your reporting cycle, so the month does not close on known-bad data.

What changes

Less time lost to coordination, fewer things falling through, and a record of what was done and why.
